View the Active Appointments
Appointments in TAAX Pro are booked and scheduled by customers based on the services they require. You can easily view all your scheduled appointments within the platform.
The Appointments section displays your meetings in a clear and organized list format, showing both past and upcoming appointments with key details like date, time, and purpose. These are planned interactions that help you stay on top of customer engagements.
Having all appointments in one place allows you to track completed meetings, avoid missing scheduled sessions, and access customer information quickly. This reduces administrative effort and helps you focus more on delivering quality service.
Follow the step-by-step guide below to view your scheduled appointments on the TAAX Pro platform.
Step 1: Navigate to the left side panel, hover over the “Appointments” section, then click on the “View Appointments” option.
Step 2: A calendar interface will appear. All scheduled appointments for the selected time range will be displayed in the calendar view.
Note: You can switch the calendar to see your appointments by day, week, or month.
View Appointment Details
Viewing appointment details helps you understand what the session is about, who it’s with, and when it’s scheduled. It shows the customer's name, email, and phone number. It also includes appointment date, slot, service, status, and type. This information is useful when preparing for a meeting or checking what was discussed earlier.
Step 1: Select an appointment by clicking on an appointment label in the calendar.
Step 2: A detailed view will appear, showing the Customer and Appointment Details. You can also select a Questionnaire and send a video invite.
Approve an Appointment
The Approve an Appointment feature lets you confirm customer bookings before they are officially scheduled in the system.
Click on the “Approve” button to approve the appointment.
Cancel an Appointment
The Cancel an Appointment option allows you to remove or decline a scheduled customer appointment when it's no longer needed.
Step 1: Click on the “Cancel Appointment” button to cancel the appointment.
Step 2: A confirmation modal will open in the center of the screen. Give a specific reason why you are canceling the appointment, then click on the “Cancel Appointment” button.
Enable Send Video Invite Toggle
The Enable Send Video Invite toggle allows you to include a video meeting link when scheduling or managing appointments, but this option is only available for subscribed customers.
Click on the Send Video Invite toggle to send an invite (for the video) to the customers listed in this Appointment Details Window.
Select Questionnaire
A questionnaire is a group of queries that you might want to ask your customers. A good questionnaire can give you actionable insight about your customers. It's not just about asking questions; it's about asking the right ones, in the right way.
Step 1: Click on the Questionnaire dropdown list.
Step 2: Select an appropriate type of Questionnaire.
Sending Invite to a Customer
Sending an invite to a customer lets them join the scheduled appointment through a shared video link. This is useful when the session is remote and both sides need to connect at the same time without confusion. It ensures the customer knows when & how to attend and reduces missed or delayed appointments.
Step 1: Click on the “Send Invite” button at the top right corner of the screen.
Step 2: A new modal will appear on the top of the screen. Select a Service, then a customer, then click on the “Send Invite” button.
Step 3: A success message will appear at the top of the modal.
Note: After sending an invite link, the customer will receive an email for the same;as shown in the image below.
The customer will click on the “Accept Invite” button to accept your invitation.
Blocking a Specific Day
Blocking a day ensures that no appointment is scheduled due to holidays, planned breaks, or internal events. It avoids accidental bookings on days when your team is unavailable. After blocking a day, the calendar won't allow new appointments for that date and will keep the schedule clear.
Step 1: Click on the “Block Days” button at the top right corner of the screen.

Viewing Appointment History
Viewing appointment history tracks past sessions with all the details like date, time, service type, and outcome. It helps to review client interactions, resolve disputes, or check what actions were taken earlier. This record keeps everything in one place, so nothing gets missed or repeated.
Step 1: Click on the “Appointments History” button at the top right corner of the screen.
