Viewing the Existing Customers

Viewing existing customers in TAAX Pro keeps you updated on who you’re working with and what actions have already been taken. It lists all saved clients along with their details, session history, and communication records. Accessing the customer list helps with assigning tasks, uploading documents, or sending reminders. It gives a clear view of your client base and supports better planning for day-to-day work.

Follow the step-by-step guide below to learn how to view the existing customers in your dashboard and manage them.

Step 1: Navigate to the left-side panel, hover over the “Customer” icon, then click on the “View Customers” option.

Step 2: It will redirect to a new screen with different customer cards and the information of all the existing customers.

Note: For all the existing customers, you can view their contact number, email address, and their provided address, as shown in the screenshot below.

 


Customer Details Card

When you view the existing customers, each customer card showcases the following information.

Sr. No. Metrics Explanation
1 Customer Profile Picture / QR Code The customer’s profile picture or QR Code appears here. A QR code can be used to fetch the customer details.
2 Contact Details Displays client name, contact number, email address, and registered residence.
3 Active/Inactive Status Indicates whether the customer is active (still engaged) or inactive (not engaged) with the TAAX Pro services.
4 Send Document Click here to send a file or document directly to the customer. The purpose of sending documents to a customer is to securely share important tax-related files that require customer review, signature, or acknowledgment.
5 Date Shows a date when the customer was added.
6 Appointments Booked Total number of scheduled appointments ("5” in this case).
7 Appointments Successful Count of completed appointments ("6” in this case).
8 Reviews Number of reviews/feedback entries ("2” in this case).
9 View Notes Click here to view & manage the notes given to the customer.
10 View Attachments Click here to access uploaded files or documents related to the customer's taxation, such as tax forms.

 

Searching a Customer

Click on the Search Bar on the View Customer screen, enter the customer’s name, and then click on the “Search” button.

OR

Click on the “Select” dropdown in the search bar and choose an option from “Has Reviews”, “Appointments Booked,” and “Appointments Successful” to find the customer appropriately.

Reset the Search Filter

Click on the “Reset” button to successfully remove all the applied filters.

Sending Documents to a Customer

The purpose of Sending Documents to a Customer is to securely share important tax-related files that require customer review, signature, or acknowledgment. This step ensures timely communication and keeps the service process running.

Step 1: Click the “Send Documents” button on the specific customer’s card to share documents related to their services. This ensures that the documents are sent directly to the intended customer for review, signature, or further action.

Step 2: A new screen will appear. Click on the “Upload Document” option next to the customer’s name.

Step 3: A modal window will appear at the top of the screen. Click on the “Upload” link, select an appropriate document, and then click on the “Open” button.

Step 4: Click on the “Send” button to send the document.

The doc will successfully be sent to the customer, and a success flash message will appear on the screen.

View Notes Sent to a Customer

You can view notes that have been previously sent to a customer, which may include case updates, important remarks, or instructions. These notes help maintain clear communication and customer interactions.

Step 1: Click on the “View Notes” button on a specific customer’s card whose notes you want to view.

Step 2: A new screen will appear showing all notes sent to the customer.

Step 3: You can edit or delete the note by clicking on the “Edit” or “Delete” button appropriately.

Step 4: To add a new note for the same customer, click the “Add Notes” button, type your message, and then click the “Save” button.

View the Attachments Sent to a Customer

You can view all tax-related documents and tax calculations that were sent to a customer. This will help you to know what has already been shared and follow up easily.

Step 1: Click on the “View Attachments” button on a specific customer’s card whose attachments you want to view.

Step 2: A new screen will open with the attachment details.

Step 3: You can rename, view, download, and delete an attachment by clicking on the 3-dot icon and choosing an appropriate option.
